Privacy Policy

Last updated November 6, 2026 · Company-wide expansion

Company-wide scope and operating companies

RayneAI is a trading brand used by AI Chain Consulting LLC and Rayne Enterprises LTD. This Privacy Policy now covers personal information handled in connection with rayneai.com, system.rayneai.io, tc.rayneai.com, and other RayneAI-branded websites, forms, portals and communications that link to this policy. It covers website visitors, prospective and existing business customers, their representatives, partners, suppliers and other people who contact us.

Either company may provide, contract for or invoice RayneAI services. There is no automatic allocation by customer location, currency or service. The relevant contracting or billing company is identified on the applicable proposal, order, agreement or invoice. Each company is responsible as a controller for the personal-information processing whose purposes and means it determines. A payment or invoice from one company does not, by itself, make it the controller for every other interaction or transfer a contract to that company.

Where more than one company is involved in an interaction, we explain the relevant responsibilities through the collection notice, engagement documents or on request. A shared brand does not transfer marketing consent between legal entities. For questions or to identify the company responsible for a particular use of your information, contact office@rayneai.com; we will route your request to the responsible company.

How this expansion fits the existing policy

The existing funnel and SMS provisions below are retained. Sections 1–12 describe AI Chain Consulting LLC’s US lead-funnel and SMS processing. The company-wide sections that follow extend coverage to the wider RayneAI business and both operating companies. References to the United States in the original funnel provisions describe that company and do not change Rayne Enterprises LTD’s UK identity. The specific mobile-information and SMS-consent protections continue to take precedence over general sharing language.

This Privacy Policy explains how AI Chain Consulting LLC, trading as RayneAI (“RayneAI,” “we,” “us,” or “our”), handles personal information collected through our lead-generation funnel at system.rayneai.io, associated inquiry and booking forms, advertising lead forms, and related sales communications. It does not describe how we process client-controlled data when delivering services under a separate client agreement.

1. Who we are and how to contact us

2. Information we collect

We collect information you provide when requesting information, completing qualification questions, submitting a lead form, scheduling a demo, or communicating with us. This includes your name, email address, phone number, business information, lead volume, advertising budget, follow-up challenges, booking details, and the contents of your communications. We also collect marketing preferences and records of consent, withdrawal, and opt-out requests.

Our website and technology providers may collect IP addresses, browser and device information, cookie identifiers, referring pages, campaign information, pages viewed, interactions, and conversion events. Information may come directly from you, from your browser or device, or from platforms such as Meta when you submit our lead forms or interact with our advertising.

3. How we use information

4. Cookies, analytics, and advertising

We use Google Analytics, Meta Pixel, Meta Conversions API, and retargeting advertising. These tools can collect or receive website activity, device and browser identifiers, IP addresses, campaign information, and events such as page visits, lead submissions, or bookings. Meta Conversions API sends event information from our systems to Meta; blocking browser cookies alone may not prevent server-side event reporting.

Google and Meta may combine information they receive with other information they hold, subject to their policies, your settings, and applicable law. Advertising disclosures in this policy do not authorize sharing mobile numbers or SMS opt-in information for third-party marketing; the protections in section 6 apply.

Read how Google uses information from partner sites and Meta’s Privacy Policy. You can manage Google advertising preferences at My Ad Center, use the Google Analytics opt-out browser add-on, and manage Meta advertising preferences in your Meta account. Browser settings can limit or delete cookies. Where our site provides a cookie-preference control, you can use it to manage optional tracking. We obtain consent for nonessential tracking where required by applicable law. Provider and browser settings may apply only to the account, browser, or device on which you set them.

5. Email and SMS choices

We use automated email follow-up relating to inquiries and our services. You can unsubscribe from marketing email through the link in the message or contact us. Unsubscribing from marketing does not prevent necessary nonmarketing responses or legally required communications.

SMS marketing requires your separate affirmative consent. Providing a phone number or agreeing to this Privacy Policy alone does not enroll you. Our SMS program promotes RayneAI’s own speed-to-lead infrastructure services and follows up on inquiries, including as a fallback when other contact methods do not connect. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help, or email office@rayneai.com. Consent is not a condition of purchase. See our SMS Terms.

6. Mobile information and SMS consent protections

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes.

We may provide the information necessary to deliver and support our own messaging program to service providers acting on our behalf, such as messaging carriers, messaging platforms, and customer-management providers. They may use it to perform those services, not for their own marketing. SMS consent applies to RayneAI and is not transferred to other businesses. These protections take precedence over general advertising or information-sharing language in this policy.

7. Other disclosures

We disclose information as necessary to providers supporting website hosting, forms, CRM, scheduling, email, analytics, advertising, security, and business administration. Analytics and advertising providers may process browsing and event information as described in section 4. We may also disclose information to professional advisers, where legally required, to protect rights or safety, or in connection with a business transaction subject to applicable law and continuing privacy obligations. None of these provisions permits sharing mobile information or SMS consent for third-party marketing.

8. Retention and security

We retain information for as long as reasonably necessary for the purposes described here. Retention depends on the nature of your inquiry, our ongoing relationship, legal obligations, dispute-resolution needs, and the need to demonstrate consent and honor opt-outs. We may retain limited suppression records to avoid sending communications you declined. We use reasonable safeguards appropriate to the information, but no system or transmission can be guaranteed completely secure.

9. International processing

We are based in the United States. Providers may process information in the United States and other countries, whose privacy laws may differ from those where you live. Where applicable law requires protections for international transfers, those transfers must be made using an appropriate lawful mechanism. Contact us for information about transfers relevant to your data.

10. Your privacy rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your information; restrict or object to processing; withdraw consent; or opt out of targeted advertising or a sale or sharing as those terms are defined by applicable law. Some advertising-related disclosures may be treated as a sale or sharing under certain state laws even without payment. Mobile information and SMS consent remain subject to section 6.

Send requests to office@rayneai.com. We may need to verify your identity and will respond as required by applicable law. Where provided by law, you may appeal a denied request by replying with “Privacy appeal.” We do not discriminate against you for exercising applicable rights. If you have applicable UK or EEA rights, you may also complain to your local data-protection authority. Where those laws apply, we rely on consent for consent-based marketing and tracking; necessary steps before a contract for requested service discussions; legitimate interests for proportionate administration, security, and service improvement; and legal obligations where applicable. Withdrawal of consent does not affect earlier lawful processing.

11. Children and external sites

Our funnel is intended for business decision-makers and is not directed at children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided information. External websites and platforms operate under their own privacy policies.

12. Changes

We may update this policy to reflect changes to our practices or legal requirements. The updated version will show a revised date. We will provide additional notice or obtain new consent where required.

13. Wider website and business information

In addition to the funnel information listed above, we process the following categories where relevant to your interaction with RayneAI:

We receive information directly from you, through your use of our websites and services, from your organisation or authorised colleagues, and from service providers and platforms involved in the interaction. Where relevant to a business enquiry or relationship, information may also come from public business sources or a person introducing you to us. Such a source does not itself provide permission for marketing SMS. Please do not send passwords, payment-card details or unnecessary sensitive information through general enquiry forms.

14. Company-wide purposes and lawful bases

Where UK or EEA data-protection rules apply, the basis depends on the purpose and circumstances. We do not rely on acceptance of this policy as consent to all processing.

PurposeInformation involvedRelevant lawful basis
Respond to enquiries, arrange consultations and scope workContact details, communications and business requirementsSteps requested before a contract where the individual is a prospective party; otherwise our legitimate interest in responding to business enquiries
Deliver and administer an agreed engagementCustomer contacts, project information, account and support recordsContract where the individual is a party; otherwise legitimate interests in delivering and managing business services
Invoice, account and keep legally required recordsBilling contacts, invoices and transaction recordsContract or legitimate interests as appropriate, and applicable legal obligations for required accounting and tax records
Send marketing and manage preferencesContact details, stated interests and permission recordsConsent where required for the channel, including SMS marketing; legitimate interests only where the applicable marketing rules allow it
Measure website use and advertisingCookie identifiers, campaign and interaction dataConsent where required for nonessential tracking or advertising, and any applicable lawful exception only where its conditions are met
Secure systems, resolve disputes and improve operationsRelevant technical logs, communications and service recordsLegitimate interests in security, proportionate improvement and protecting rights, together with applicable legal obligations

Where we rely on legitimate interests, those interests include responding to business requests, administering customer and partner relationships, preventing misuse and improving reliability. We consider the effect on individuals and do not rely on that basis where their interests or rights override it. You may object as described below. If required information is not provided, we may be unable to respond fully, set up an account, deliver the requested service or complete a transaction. Optional marketing consent is not required to enquire, book a call or buy services.

15. AI-enabled interactions and client-controlled data

RayneAI’s business includes AI infrastructure, implementation and related software services. Where an AI-enabled feature is part of your interaction, the information you provide and relevant conversation or workflow context may be processed to generate responses, organise requests or support the agreed function. Automated output can be inaccurate; check material information and contact the team if you need human assistance.

This policy does not create permission to use confidential client information for unrelated purposes or grant a blanket licence to train public AI models. Specific AI-provider terms, permitted uses, access arrangements, retention and any training or evaluation use of client data must be addressed in the applicable service and data-processing documentation.

For customer-controlled personal information processed on a customer’s instructions, the customer’s privacy notice and the applicable data-processing agreement govern that processing. The customer generally determines the purpose and lawful basis for that information. This policy governs our own controller activities, such as enquiries, business administration and contact management; it does not replace a customer’s notice or our contractual processor obligations. Contact the organisation responsible for the underlying service if your request concerns its records. We can help route a request without assuming authority over another organisation’s data.

If a deployment involves decisions based solely on automated processing that have legal or similarly significant effects, the responsible organisation must provide the specific information and safeguards applicable to that deployment. General website use is not authorisation for such a decision.

16. Communications across the wider business

We may respond through the channel you use or another appropriate channel related to your request, subject to applicable law and your preferences. Marketing permissions are assessed separately for email, SMS, telephone and other messaging platforms. A website enquiry, email subscription, WhatsApp conversation, purchase or accepted privacy policy does not by itself grant promotional SMS consent.

The existing US SMS program remains operated by AI Chain Consulting LLC under the RayneAI / Rayne AI brand and is governed by the SMS Terms. Adding Rayne Enterprises LTD to this notice does not enrol anyone in an additional messaging program, expand the SMS purpose, or transfer the existing consent to that company. Each sender must obtain any consent required for its own marketing.

You may object to direct marketing at any time. Use the unsubscribe control in a marketing email, reply STOP to program texts, or email office@rayneai.com with the channel and contact details concerned. We may keep the minimum information needed to honour a suppression request. Opting out of marketing does not prevent essential service, billing, security or legal communications sent on a separate lawful basis. Where calls or meetings are recorded, the applicable recording notice and consent requirements must be addressed at the point of recording; this general policy is not blanket recording consent.

17. Recipients, operating-company coordination and international transfers

Where necessary for the relevant interaction, information may be available to authorised team members, contractors and service providers supporting hosting, CRM, communications, scheduling, payment administration, analytics, advertising, software and AI processing, customer support and security. Providers receive the information needed for their role, subject to applicable contractual and legal duties. Advertising-platform processing remains subject to the tracking disclosures and your applicable choices.

AI Chain Consulting LLC and Rayne Enterprises LTD may coordinate an enquiry, project or business-administration task where there is an appropriate lawful basis and a need to do so. Listing both companies is not permission to give either company unrestricted access to all records. In particular, neither company may use the other’s mobile numbers or SMS opt-in data for its own marketing on the basis of this notice. The mobile-information restrictions in section 6 apply to affiliates and related companies as well as unrelated third parties.

We may disclose relevant information to professional advisers or authorities where necessary for legal duties or claims, and in a lawful business reorganisation subject to appropriate confidentiality and continuing privacy obligations. No general business-transfer or disclosure provision in this policy authorises selling or sharing SMS consent for another party’s marketing.

Information may be processed in the UK, the United States and other countries used by the relevant provider or team. Where a restricted transfer is subject to UK or EEA rules, the responsible company must use an applicable adequacy decision or appropriate safeguards, such as the relevant standard contractual clauses and, where required, the UK Addendum or International Data Transfer Agreement, with the necessary assessments and supplementary measures. We do not represent that every provider has the same location or transfer mechanism. Contact office@rayneai.com for information about the safeguards applying to a particular transfer and how to obtain a copy, subject to necessary redactions.

18. Retention across the business

We use purpose-based retention criteria rather than one period for every record. Enquiry records are retained according to the status and relevance of the enquiry and follow-up preferences. Customer and support information is retained according to the relationship, agreed service requirements and dispute or security needs. Invoices, tax and contractual records are retained for the applicable legal record-keeping and limitation periods. Technical and analytics retention depends on the information, security purpose, relevant tool settings and permissions. Consent and suppression records may need to be retained to demonstrate permission or prevent unwanted contact after other records are removed.

When a retention purpose ends, information should be deleted, anonymised or otherwise handled in accordance with applicable legal and contractual obligations. Backup deletion may follow the relevant backup lifecycle; retained copies remain subject to appropriate restrictions. Ask us about the retention criteria or period for a particular record.

19. UK, EEA and US privacy requests

Where applicable, you may request access, correction, deletion, restriction or portability, withdraw consent, and object to processing based on legitimate interests. The right to object to direct marketing is separate from an objection to other processing. Rights are subject to the applicable law and exceptions; we may retain information needed for legal obligations or claims. Withdrawal of consent does not affect processing lawfully carried out before withdrawal.

US state laws may also provide rights to know or access information, correct or delete it, receive a portable copy, and opt out of targeted advertising, sale or sharing as defined by the relevant law. Advertising disclosures may fall within those definitions even without monetary payment. An authorised agent may submit a request where permitted; we may require evidence of authority and proportionate identity verification. Where an appeal right applies, reply to the outcome with “Privacy appeal” and the reasons for your request. We will explain any further escalation route required by the applicable law. We will not unlawfully discriminate for exercising privacy rights.

Email office@rayneai.com with “Privacy request,” describe the request and identify the website, engagement and company if known. You do not need to identify the correct company before contacting us. We may request only the verification information reasonably needed, and we will respond within the applicable statutory timeframe. Please do not send identity documents unless requested through an appropriate process.

If you are concerned about UK processing, you may complain to the Information Commissioner’s Office (ICO), including by telephone on +44 303 123 1113 or by post to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, United Kingdom. EEA individuals may complain to their competent supervisory authority, including where they live or work. You may contact us first, but doing so is not a condition of exercising a complaint right.

20. Cookies and privacy choices across RayneAI sites

Our Cookies & Tracking Notice explains essential functionality, analytics, advertising, pixel and server-side event reporting, and available choices. The specific tools used can differ between a marketing website, a funnel, a client portal and this legal-information site. A description of a tool in this policy does not mean every RayneAI page runs that tool.

Where a site presents a preference panel, use that site’s controls to change optional tracking choices. Email office@rayneai.com for help exercising an applicable targeted-advertising or sharing opt-out. Browser and provider controls may be specific to the device or account. A request or setting on this policy page does not automatically change third-party account settings or every other RayneAI website. Any legally required consent, opt-out or recognised browser-signal handling must operate on the site or system performing the processing.

21. Scope, updates and contact

This company-wide addition covers RayneAI business operations described in this notice. It is not an employment or recruitment privacy notice, does not override a more specific notice given when information is collected, and does not replace a customer’s privacy notice or an applicable data-processing agreement. If a specific notice and this policy differ, the more specific explanation governs that processing, subject to applicable law and the continuing SMS protections above.

We will publish material changes with an updated effective date and provide additional notice or request consent where required. New purposes that require a new permission will not be authorised merely by editing this policy. Contact either operating company through office@rayneai.com or at the relevant postal address above.
